The checklist

1. Multi-factor authentication on everything that matters. Email, Microsoft 365, banking, accounting software, remote access. MFA stops the vast majority of account takeover attacks. If you do only one thing from this list, do this.
2. Unique passwords via a password manager. One reused password plus one breached website equals a compromised business. A team password manager fixes this permanently.
3. Automatic updates, actually on. Windows, browsers, routers and key software patched promptly. Most successful attacks exploit holes that were fixed months earlier.
4. Tested backups following the 3-2-1 rule. Three copies, two types of storage, one offsite. And restore-test them — an untested backup is a hope, not a plan. This is your ransomware survival kit.
5. Reputable endpoint protection on every device. Including laptops that travel and any personal devices used for work.
6. Email filtering and a healthy dose of suspicion. Most attacks arrive by email. Good filtering catches most of it; brief, regular staff awareness handles the rest — especially invoice fraud and bank-detail-change scams.
7. Least-privilege access. Staff should access only what their role needs, and nobody should do daily work from an administrator account. Offboarding should revoke access the same day someone leaves.
8. A locked-down network. Router admin password changed from default, firmware updated, guest Wi-Fi separated from business systems, and no forgotten port-forwards from years ago.
9. Protect the money trail. Verify any change of bank details by phone on a known number. Require two people to approve large or unusual payments. This one habit defeats business email compromise, the most costly scam in Australia.
10. A simple incident plan. Who do you call? What do you disconnect? Where are the backups? One page, printed, before you need it — because during an incident nobody thinks clearly.
