The dangerous shortcut to avoid

The classic mistake: exposing Remote Desktop (RDP) directly to the internet so someone can reach the office PC from home. Attackers run automated scans for exactly this, around the clock, then hammer it with stolen and guessed passwords. It's the burglar-checking-door-handles of the internet — and it finds unlocked doors daily. If your business set this up years ago and it "just works," that's worth checking urgently.

Option 1: go cloud-first and skip the problem

The most elegant remote access is needing none: when email lives in Microsoft 365, files in SharePoint/OneDrive and applications in the cloud, staff simply sign in securely from wherever they are — protected by multi-factor authentication, with no tunnel back to the office at all. For many small businesses, finishing the cloud migration is the remote access strategy, and it pays dividends in continuity too (see our business continuity guide).

Option 2: a proper VPN for what stays on-site

When resources genuinely live in the office — a server, a NAS, specialised software, cameras — a business VPN creates an encrypted tunnel so remote staff appear safely "inside" the network. Done right this means: a quality router or firewall running modern VPN protocols (WireGuard and friends, not crusty legacy ones), per-user credentials with MFA rather than one shared password, and access revoked the day someone leaves. Done wrong, a VPN is just a slower version of the unlocked door.

Option 3: modern zero-trust access

Newer tools (Cloudflare-style access gateways, Tailscale-style mesh networks and similar) offer per-app access — the bookkeeper reaches the accounting server and nothing else, with every connection authenticated. For small businesses these are often simpler and safer than a traditional VPN, and we increasingly recommend them.
