Printer Won't Print? A Practical Troubleshooting Guide for Homes and Offices

Printers have a special talent for failing at the worst moment — boarding passes, contracts, school assignments due tomorrow. Here's the checklist we use, which solves the majority of printer dramas.
First, the two-minute basics
- Restart the printer properly. Off at the power point, wait 30 seconds, back on. This clears more faults than any other step.
- Restart the computer too. A stuck print queue on the computer side is just as common.
- Check for error lights or messages. Paper jam, low ink and cartridge errors are usually shown on the printer itself.
- Check the connection. USB cable seated firmly, or for wireless printers, confirm the printer is on the same Wi-Fi network as your computer — after an NBN router swap, printers are almost always left behind on the old network.
"Printer is offline" — the classic Windows problem
Open Settings > Bluetooth & devices > Printers & scanners, select your printer and open the queue. Cancel any stuck jobs, and make sure "Use Printer Offline" isn't ticked. If it keeps happening, removing the printer and re-adding it rebuilds the connection cleanly — and fixes most chronic cases.
Wireless printers that keep dropping out
- Assign the printer a fixed (static) IP address so the computer never loses track of it — the permanent fix for printers that vanish every few days.
- Keep the printer within decent Wi-Fi range; a printer in a back room on the edge of coverage will misbehave forever.
- Update printer firmware — manufacturers fix connectivity bugs regularly.
Print quality problems
- Streaks or faded prints: run the head clean cycle from the printer's maintenance menu (inkjets clog when unused — print a page or two weekly to prevent it).
- Ghosting or lines on laser prints: usually the toner cartridge or drum needing replacement.
- Wrong colours: run alignment and check no cartridge is empty — many printers refuse to print pure black when a colour runs dry.
Scan-to-email stopped working?
This one's rarely your fault: email providers have tightened security rules, and older printers' scan-to-email settings stop being accepted. It's fixable with updated settings — something we sort out regularly for offices.
